Software RFI (Request for Information): The early stage discovery instrument used before a formal RFP. The RFI maps the vendor market, qualifies bidders against high level requirements, and produces a defensible shortlist. RFIs ask 30 to 70 open ended questions across capability, security posture, customer references, deployment model, and pricing structure. They do not commit either party to a transaction and they do not produce binding pricing.

The most common mistake in enterprise software sourcing is skipping the RFI and going straight to RFP with a hand picked shortlist of three incumbents. From our 980 RFP panel, the upstream RFI cycle ran 18 to 26 days at median, with $1M to $5M ARR deals taking the longest at 24 to 30 days. Invitee counts ran 11 to 18 vendors with a median of 14, and shortlist counts ran 6 to 9 with a median of 7. Segment cuts: ERP and HR Cloud RFIs landed at the upper end of both cycle length and invitee count because of the multi stakeholder review burden.
