03 · Tooling & playbooks

Instant benchmarks answer a few questions about one deal. The tools in this chapter go further: they read your own exports and documents, a usage report, a cost export, a signed contract, a photographed quote, and build a plan from your real numbers. The chapter closes with the vendor playbooks, full self-serve negotiation and migration engagements for ten major vendors.

Every tool is free to explore with sample data on any plan. Uploading your own data, and running the AI over it, requires a Professional or Enterprise plan, and each AI run counts against your plan allowance; the tool tells you when a step needs it, and Plans, allowances & limits defines every gate. Every contract-family document you hand an intake tool, the three decoders, the Verdict Bar, Second opinion, the Vera Deal-Room, Proposal comparison, and the vendor playbook drop zones, is kept: it saves to your workspace as a contract, stored privately and visible only to your organization, and joins your benchmarking queue automatically. Benchmarking extracts only high level data points, the vendor, the price, the term, and the key commercial terms; the document itself never leaves your organization, every saved document can be deleted from its contract record at any time, and an owner can turn the saving off entirely under Settings, Security & compliance, Data controls. Quote captures, invoices, audit letters, and spend exports keep the old rule, read in memory and never stored, and the browser-only calculators parse your export on the page so your usage data never leaves it.

Each tool section below carries a You get line: the artifact the tool produces and roughly how long a run takes, so you know what you are waiting for before you start. In the product, every tool page opens with the same strip under its title: when to use it ("Use this when …"), the typical finding it surfaces, its data-privacy posture, and a "Runs on sample data before any upload" note, so you can judge a tool before you feed it anything. Every tool page also carries an All tools link at its top left, one click back to the tool menu from anywhere in this chapter.

Every chart enlarges, and so do the playbook cards. This is platform wide, not just in the tools: hover any chart on any screen and an Enlarge button appears in its corner; click it, or the chart itself, and the figure opens in a near full screen window with its title, its description, and a "How to read this" note. Hovering a bar, ribbon, dot, or segment, on the page or in the enlarged view, shows the exact figure behind it in a tooltip the moment the pointer touches it. In the playbooks the text windows enlarge too: click anywhere in a card or KPI tile that is not a button or a field and it opens in the same window with the text scaled up for reading; selecting text never triggers it. Press Esc or click outside to close the enlarged view. Charts and tiles that are themselves links, such as a dashboard tile, keep navigating on click.

  1. Start from the doors: pick the job you came to do and the wall narrows to the tools that do it.

Drop any quote, contract, order form, or invoice; it is classified, routed to the matching engine, and judged against the market in about a minute. The screen follows the same shape as Contract decode: a drop stage, a full screen read, and the settled verdict as a working room.

Once a plan is on file, the tool opens on stage: the plan presents itself as a full screen executive brief, and Escape steps down to the classic desk described below.

How to use it

  1. Pick your vendor set by spend, or hand-pick it (the treemap tiles toggle vendors in the pick-vendors scope).
  2. Generate the plan and watch the portfolio scan while Opus composes it. This takes two to four minutes.
  3. Return with a plan on file and the brief opens by itself: walk the sections with the arrow keys, put vendors under the spotlight, and triage moves from the deck. Escape lands on the desk; the Theatre button raises the stage again and offers to resume where you left off.
  4. On the desk, walk the plan move by move and give each a verdict: accept, mark done, or dismiss. The tracker above the plan shows the value in play as you work.
  5. Press Open the workroom and work the What now panel: draft the note to the budget owner, open the lead renegotiation, and put the renewal dates on the calendar.
  6. Take any move deeper with Vera, or book the analyst walkthrough; a dot on the renewal calendar jumps to that vendor's move.
  7. Share or forward the plan to the budget owner, or export it to Word or PDF, from the stage or the desk.

Drop two vendor proposals and Vera shows exactly what changed. Where Second opinion reads one contract against the market, Proposal comparison reads one proposal against another and answers a different question: what moved, did it move your way, and what is the movement worth. It handles both situations. A same vendor revision, the original against the revised proposal, tells you whether the vendor's new draft actually helped. Two competing vendors, side by side, tells you which bid is stronger. Use it when a vendor sends back a revised proposal, or when you are choosing between two.

  2. Read the documents as they land on the desk; the money numbers arrive within the first couple of minutes.
  3. When the seal stamps, read the case your way from the tab band: any document you click opens on the case file's stage with the rest of the pack one arrow key away, Documents holds the cover and the grid, Cover to cover the continuous read, Five minute brief the executive readout, and the Negotiation desk the table toolkit. Present, in the masthead's actions, raises the full screen Deal-Room Theatre when you want to walk the case in front of a room; it only opens when you press it.

The first open is a guided kickoff in three steps: the Discovery interview first, then Opus 5 drafts your project plan from your answers and your numbers, then a confirm step where you check the four fields every date derives from (client, agreement, anniversary, where in the term you are), adjust anything, regenerate if the anniversary moved, and step onto Mission Control. You can skip the kickoff with one click and run it later from the Discovery screen; either way the playbook remembers and opens on Mission Control from then on.
